Terms of Service

Version 2026-11-05.1 · Effective November 5, 2026

How your Flosskit account works, your responsibilities, and the separate role of each society.

1. Our agreement

These Terms of Service are an agreement between you and FlossKit ("Flosskit", "we", "us" or "our") for use of the Flosskit website, account platform, society tools and related services. Contact us at help@flosskit.com. By selecting the agreement checkbox and confirming, you accept the version shown to you. If you do not agree, do not complete signup or continue using account features. You may still read public pages and contact us.

You must have legal capacity to agree to these terms. If you use Flosskit for a society or another organization, you must have authority to act for it. The service is intended for adults, including adult dental students and society volunteers.

2. Your account and shared profile

Provide accurate account information, check imported information, and keep your name, contact details and ODA ID current. An imported record may be created before you sign in. Your identity is shared across your societies; each society separately controls its membership categories, status, expiry dates and communication preferences. An ODA ID or professional description on Flosskit is not an independent verification of licensure, credentials or professional standing.

Keep access to your email and sign-in codes secure. Do not share codes, impersonate another person or use an account without authorization. Tell us promptly if you suspect unauthorized access. You are responsible for actions you authorize through your account.

3. Societies, events and professional activities

Flosskit provides the platform. Societies and event organizers are responsible for their own membership decisions, fees, eligibility, event delivery, cancellation and refund policies, communications and content. Membership in a society does not give executive permissions. Contact the relevant society about membership terms, event changes, refunds or disputes with an organizer.

Event descriptions, attendance records and continuing-education certificates reflect organizer information and records. You are responsible for confirming whether an activity or certificate satisfies your professional or regulatory requirements. Flosskit does not provide dental, medical or other professional advice.

4. Payments and third-party services

Prices, applicable taxes and any purchase-specific conditions are shown during the relevant checkout. Payment processing uses Stripe and the organizer’s connected account where applicable. A website account or roster import does not by itself mean dues have been paid. Refunds, chargebacks and statutory cancellation rights depend on the transaction and applicable law. These terms do not remove non-waivable consumer rights.

Third-party services, including payment providers and external meeting or document links, have their own terms and privacy practices. We do not control those services. A separate written agreement for paid Flosskit services governs any additional fees it expressly covers.

5. Responsible use and content

Use Flosskit lawfully and respect other people’s privacy and intellectual-property rights. Do not upload patient records, patient-identifying clinical information, payment-card details, unlawful content, malware, harassment or content you are not authorized to share. Do not attempt to bypass access controls, scrape private records, disrupt the service, send unsolicited messages or misrepresent your identity or permissions.

You retain ownership of content you submit. You grant us permission to host, store, reproduce, process and display it only as needed to operate, secure and support the service and make it available according to the sharing settings and permissions you select. You are responsible for obtaining required permissions and consent before importing member information or sharing another person’s information.

Society administrators must use member information only for authorized society purposes and comply with applicable privacy and electronic-messaging requirements. Publicly shared profiles, images or content may be seen or copied by others. Report misuse to help@flosskit.com.

6. Privacy and communications

Our Privacy Policy explains the information we collect, how it is used and shared, where processing may occur, and your choices. Your agreement to these terms and the privacy notice is separate from optional society email or text-message preferences. You can change those preferences in your account. We may send sign-in codes, security notices, receipts and other messages needed to provide requested services.

7. Availability, suspension and account closure

We may change features, perform maintenance, or suspend access when reasonably necessary for security, suspected misuse, legal obligations or a material breach of these terms. Where practical and lawful, we will give notice and an opportunity to address the issue. Contact us if you believe access was restricted in error.

You may stop using the service and request account closure. Removing access may deactivate an account while retaining records needed for payment history, attendance, certificates, security, agreement evidence, dispute resolution or legal obligations, as described in the Privacy Policy. Closing a Flosskit account does not automatically cancel society obligations, event purchases or payment disputes.

8. Disclaimers and limits

To the extent permitted by applicable law, the service is provided on an “as available” basis without guarantees that it will be uninterrupted, error-free or suitable for every purpose. We use reasonable safeguards but cannot guarantee absolute security or the accuracy of content supplied by societies or users. Nothing here excludes a warranty or responsibility that the law does not allow us to exclude.

To the extent permitted by law, Flosskit is not liable for indirect, incidental, consequential or special losses, including lost profits or opportunities, arising from use of the service. Our total liability for claims arising from the service is limited to the greater of CAD $100 and the amount you paid directly to Flosskit for its services in the 12 months before the event giving rise to the claim. Amounts paid to a society or event organizer are not amounts paid directly to Flosskit for this purpose.

These limits do not apply where prohibited by law and do not exclude liability that cannot lawfully be limited, including applicable statutory consumer or privacy rights.

9. Updates, governing law and contact

We will identify the effective date and version of updated terms. Material updates that require renewed agreement will be presented before you continue using account features. Your earlier agreement remains recorded with the version and time you accepted. Changes do not retroactively remove rights you already have under applicable law.

Ontario law and applicable Canadian federal law govern these terms, subject to any mandatory laws and rights that apply where you live. Courts in Ontario have jurisdiction except where applicable law gives you a right to bring a claim elsewhere. If a provision is unenforceable, the remaining provisions continue to apply. Contact help@flosskit.com about these terms, accessibility or an account concern.
